Microsoft Dynamics 365 Finance is one of the most capable ERPs on the market. But for most enterprise AP teams, that capability is being held back by what happens before the ERP, not inside it. The data on this is striking and consistent across recent industry research.

Best-in-class AP teams have already closed most of that gap. They process invoices at $2.78 to $3.24 each in 3.1 days, with exception rates around 9 percent (Ardent Partners; Aberdeen Group). The market has read the signal. Picture an enterprise finance team processing 8,000 to 12,000 invoices a month across raw material suppliers, logistics partners, and service vendors. An invoice from a logistics vendor lands in the shared AP inbox at 9:47 AM. Then they move to the next email. Step 2: Manual Data Entry
The clerk opens Dynamics 365 Finance, navigates to the vendor invoice journal, and begins entering the vendor name, invoice number, invoice date, due date, currency, totals, and tax. Then the line items: description, quantity, unit price, and line totals. The ERP has built-in validation, but it only catches what happens within the system. They cannot catch the typo that turned invoice number INV-44827 into INV-44287. They cannot catch the date entered as 2026-04-05 instead of 2026-05-04. Errors originate at the keyboard, not in the database.
Step 3: PO Matching
Most invoices reference a purchase order. The clerk now has to find it by PO number, vendor, or amount range. Once located, they cross-check quantities, unit prices, and totals against the invoice. If a PO line shows 500 units at $4.20 and the invoice shows 500 units at $4.25, that five-cent variance becomes an investigation: was there a contract change, a freight adjustment, a partial shipment? Emails go out. Replies come back hours or days later.
Step 4: Approval Chasing
Once data entry and matching are done, the invoice still needs approval. Routing depends on amount, cost center, and GL code, but in practice, AP teams spend hours every week chasing approvers across email and Slack. Early payment discounts get missed. Vendor relationships are strained.
Step 5: Exception Handling
Some invoices have missing PO numbers. Some are duplicates of invoices submitted last week. Some tax calculations do not match the expected rates for the vendor’s region. There is no structured queue for these, just an ever-growing folder of “to follow up” items, scattered across spreadsheets, sticky notes, and email threads. Things slip. Vendors call asking about payment status. The CFO asks for an accurate liability snapshot, and nobody can produce one with confidence.
